    Job Overview

    The Advertising Production Coordinator will coordinate the efforts of advertising print projects as they are processed through production, photography, and proofreading, creative and prepress departments. Responsibilities include project management and scheduling of both local and off-site relations with various account teams.

Ivie & Associates expects that all employees, including the Advertising Production Coordinator, to fully support Ivie’s position/relationship with its Clients.


    The Advertising Production Coordinator is expected to:

    • Ensure project timelines are being followed, including interaction with vendors and client to ensure timely completion of all projects.
    • Coordinate and manage multiple projects simultaneously.
    • Create weekly Production Schedule.
    • Communicate with account teams and/or vendors and client.
    • Revise ad proof copy as required through the proofing process, checking for missing elements, re-arranging copy and other ad elements to meet standards as needed.
    • Helps coordinate daily check-in with Senior Production Artist, Coordinators and Manager/Director regarding schedule and project completion before leaving for the day.
    • Provides feedback to Manager/Director regarding on-going or repeating issues.
    • Advise Manager/Director on copy legibility and discrepancy issues in ad plans.
    • Follow established check-off procedures.
    • Have knowledge of the printing industry including commerical printing and prepress processes.
    • Send copy out for estimates and translations as needed.
    • Cross-train with Marketing Coordinator, Manager/Director as requested.
    • Attend weekly creative meetings as needed.
    • Additional duties and responsibilities as assigned by Manager/Director.


    Education and Experience

    • 4-year college education or equivalent
    • Ability to speak, read and write in the English language
    • 1-2 years experience in production coordination
    • Good spelling, grammar and typing skills
    • Desire to continue education through trade shows, seminars, special courses, etc.


    System Skills Required

    • Experience with Microsoft Word, Excel, Outlook, and PowerPoint
    • Laser printing devices
    • Ability to learn proprietary software
    • Basic understanding of remote conductivity to communicate with Ivie headquarters



    • Travel as required
    • Temporary assignments (out-of-town)
