    Job Overview

    The primary role of the Operations Project Manager (OPS PM) is to support and collaboratively provide efficiency recommendations to manage the marketing processes within the Client structure/framework.  He/she should have the ability to assist all departments in understanding the details, thus ensuring the highest level of service is provided with exceptional quality results.  The OPS PM should be able to communicate current process, and recommended process improvements, to any level of team member up to and including Executives (either Client or Ivie). The OPS PM is also expected to possess an awareness of best in class marketing processes and procedures, most notably in the retail industry, and the ability to communicate clearly and concisely at all times. He/she is expected to develop a comprehensive understanding of the Client’s needs, company goals and internal processes & procedures.

Ivie & Associates, Inc. expects that all employees, including the Operations Project Manager, to fully support Ivie’s position/relationship with its Clients.

    Responsibilities

    The Operations Project Manager is expected to:

    • Be responsible for understanding current industry trends in efficiency and accountability, and methodology for system integrations for marketing processes
    • Appropriately represent Client Operations in any number of situations or settings (i.e. project meetings, training seminars/webinars, Executive reviews, etc.)
    • Meet with various Client, Ivie or any external agency team members to understand and document current workflow(s) and interconnectivity of marketing efforts. Documentation must be designed to various individual audiences to quickly and accurately convey processes and procedures.
    • Be able to accurately ideate, create and implement processes and procedures utilizing all forms of communication methods (i.e. workflows, written procedures, charts/graphs, webinars, etc.); fully manage updates/changes to processes and procedures working to streamline and reduce redundancies and inefficiencies.
    • Assist in the planning and execution of question and answer training sessions with all departments to ensure proper employee procedures are followed.
    • Develop and distribute various reports, providing visibility to Client and Ivie leadership, and employees (when appropriate) detailing accountability status and process enhancement/improvement.
    • Audit existing processes to ensure adherence and provide update recommendations for increased compliance.
    • Demonstrate exceptional project management proficiency (set and prioritize goals and achieve them as scheduled; remain flexible to adjust to rapidly changing requirements and schedules; the ability to handle many issues, items and functions at one time and deal rapidly with multiple items in prioritized sequence)
    • Demonstrate competency in agile business process management and comprehension of process principles; skilled in process change management

    Qualifications

    Education and Experience

    • 2-4 year college degree or equivalent work experience in retail marketing
    • Competent in retail marketing and operations
    • PMI certification preferred
    • Ability to speak, read, and write in the English language

     

    System Skills Required

    • Proficient in Microsoft Word, Excel, Outlook, Visio, and PowerPoint
    • Experience with project management software
    • Experience with BOX (or other file sharing/storage systems)
    • Experience with webinar systems

     

    Travel

    • Travel as required by supervisor
    • Temporary assignments (out-of-town)
